  • Implements policies and procedures on a range of student affairs issues such as admissions (ASOIU, UNISTRA), course registration, class absences, graduation processing, petitioning, withdrawals etc.;
  • Supports during annual admission procedures of UFAZ;
  • Updates UFAZ UMS system for student enrollment.
  • Plans, organizes, directs and administers activities and events that support students’ social activities, and ensures that such activities and services remain with budgetary limits;
  • Informs all UFAZ students about the code of conduct and university rules (including examination rules);
  • Advises students on study program related matters (such as application processing questions, changes in timetable via social networks, information sessions, receptions, and student orientations);
  • Liaisons with teachers to address and solve student’s problems related to study programs.
  • Closely monitors all activities linked to student life at UFAZ including student unions and other student clubs.
  • Contacts with parents of students, provide information about the university or the results of the student / any other behavioral issues.
  • Inform head of the department in case of any serious issues regarding students.
  • Ensures document turnover (internal documentation, information materials for students, etc.) ;
  • Prepares all relevant student statistics and official lists for Azerbaijani ministries, and for UFAZ jury of semester, disciplinary commission and etc.;
  • Maintains and archives in organized manner all files and documents linked to UFAZ students
  • Provides document turnover between UFAZ and the Azerbaijan State Oil and Industry University;
  • Informs students with messages sent by other UFAZ departments (approved by the management);
  • Translates documents from English into Azerbaijani, Russian and vice versa;
  • Provides administrative support in the arrangement of UFAZ events;
  • Provides overall support to the invited professors;
  • Takes up additional tasks assigned by line managers and education team such as participation in exams, supporting for admissions, placement of interns in companies;
  • Coordinates activities ahead, during and after exams (prepares, scans and files exam papers and questions, arranges exams supervision, supports assessment processes);
  • Keeps organized storage and archives of all exam related documents, supervision reports, etc.;
  • Coordinates and contacts with teacher for exam supervisions;
  • Responsible for timetable organization;
  • Keeps smooth and operational relations with ASOIU educational department;

Xüsusi tələblər

  • Master’s degree in education management, business administration or similar field;
  • Excellent written and verbal communications in Azerbaijani and English languages are required;
  • Proficiency with computing software such as Outlook, MS Office, especially Excel;
  • Strong motivation and eager to constantly learn and adaptability.
