  • Administrative Specialist is a position responsible for clerical tasks to support supervisors and management staff directly reporting to HR Manager. The main objective of this role is to responding to inquiries, arranging appointments and travel, addressing complaints and resolving internal issues.
  • Monitoring the service quality of companies (Catering, Cleaning, Maintenance and etc.), ensuring the compliance of the documents (e.g. monthly payments to the subcontractors, the vendors etc.) and keeping abreast of relevant reports
  • Ordering, organizing, monitoring equipment inventories and materials in order to ensure the availability of items as needed; supporting and implementing purchasing requirements for departments, subcontractors; obtaining price quotes, entering information into system, receiving purchase orders; arranging for repair & maintenance of office equipment and furniture; controlling monthly free product distribution among the employees; providing administrative support to meet the demand for required issues
  • Arranging and coordinating travel, and travel related documents for employees, as well as reservation, accommodation and visa for the company guests. Controlling hospitality processes, such as hotel reservations, picking company guests (from/to) airports and tours inside country, booking and buying air tickets
  • Implementing and improving admin-related policy and procedures and controlling the administrative expenses
  • Maintaining and submitting timely all the established reports
  • Coordinating and organizing company events, group and individual activities (e.g. communications, scheduling, appointments, meetings, conferences, trainings, work activities etc.)
  • Perform other administrative duties as required in order to support the mission, ensure the efficient and effective work of unit; Assisting HR Manager in preparation of related strategies and new programs to improve organizational and administrative matters.

Xüsusi tələblər

  • Minimum 2 years of experience in related field
  • Excellent organization and problem-solving skills
  • Good communication, negotiation and interpersonal skills
  • MS Office proficiency
  • Knowledge of English-upper-intermediate
  • Knowledge of SAP
