Assist in the establishment/revision of Internal Committees’ charters and guidelines;
Provide executive secretarial facilitation/support for Executive Management members and Committees;
Align and process in accordance with the Company's Internal committee’s management guidelines;
Prepare committee materials/presentations, set up agendas, organize and attend the Committee meetings;
Prepare, document, and retain the minutes, briefs, and protocols;
Provide storage and archive of proper filings and records, including those of a confidential and sensitive nature;
External Committees coordination:
Assist Corporate Center / Corporate Governance Function on coordination and managing of periodic external committees’ meetings;
Prepare meeting materials/presentation pack, set up agendas;
Ensure internal stakeholders’ alignment and invitation to External Committee meetings;
Assist with the preparations of minutes and protocols;
Align the final versions of Committee inputs and protocols with the Management;
Share the final inputs with internal Management and Corporate Center;
Organize and manage weekly Management meetings and other related regular meetings, presentation pack preparation, dissemination and when required Protocol preparations;
Provide administrative assistance to Company Corporate communication function on quarterly and annual business review meetings organization works
Prepare agenda and presentation pack, ensure internal stakeholders alignment for quarterly and annual business review meetings.
Other Secretarial services / administrative assistance:
Organize meetings and coordinate the calendar for Strategic PMO functional Superior;
Liaison (coordination, registration and tracking of queries) between group Companies and Holding, provide administrative support for Executive Management members;
Coordinate the meeting organization with the relevant Personal Assistants of Management;
Coordinate with internal and external stakeholders, providing prompt and customer-focused service;
Provide storage and archive of proper filings and records, including those of a confidential and sensitive nature;
Provide ad-hoc management reporting when requested, prepare group presentations;
Establishing/enhancing the Company’s development programs and governance processes;
Building strategic and operational plans, roadmaps, and action plans;
Timely tracking of the plan implementation process;
Execute Superior’s verbal and written instructions and assignments.

Higher education in Economics or related fields;
Business Administration (MBA is an advantage);
One year of experience in executive secretarial jobs or similar administrative roles;
Fluent knowledge of Azerbaijani and English languages; Good knowledge of Russian will be an advantage;
Advanced user of MS Office (in particular MS Project, MS Excel, MS Visio, and MS PowerPoint);
Strong written and verbal communication skills;
Strong PowerPoint and other visualization/presentation tools knowledge;
Detailed-oriented, high organizational and planning abilities;
